Prerequisites

Before starting, ensure:

Step-by-Step: Create a Teams Retention Policy

Step 1: Log in to Microsoft 365 Admin

  1. Log in to Microsoft 365 Admin Center

  2. Open Microsoft Purview


Step 2: Navigate to Retention Policies

  1. In Microsoft Purview, click Solutions

  2. Select Retention

  3. Click Retention policies


Step 3: Create a New Retention Policy

  1. Click New retention policy

  2. Provide a policy name and optional description

    • Example: Teams Chat – 2 Year Retention


Step 4: Choose Locations

  1. Select Microsoft Teams chats

  2. Choose whether the policy applies to:

    • The entire organization, or

    • Specific users, groups, or teams


Step 5: Configure Retention Settings

  1. Set the policy to Delete items after a specific period

  2. Define the retention duration (days, months, or years)

Important:
The retention period starts when the message is created.


Step 6: Review and Create

  1. Review the policy configuration

  2. Click Create to publish the retention policy

The policy may take time to propagate across the tenant.

  • Retention policies apply going forward and may take up to several hours to fully enforce

  • Deletion is automatic once the retention period expires

  • Policies can be updated or removed if requirements change
