Overview of Snipe-IT, a leading open-source IT asset management (ITAM) solution.
This guide covers the core components, workflows, and management features.
1. Overview
Snipe-IT is designed to help IT departments track hardware, software licenses, accessories, and consumables. Its primary goal is to eliminate "spreadsheet chaos" by providing a centralized, searchable database of who has what, where it is, and its current condition.
Key Terminology
Asset Tags: A unique identifier (barcode/QR) assigned to physical hardware.
Checkout: Assigning an item to a user, location, or another asset.
Checkin: Returning an item to inventory.
Status Labels: Categories that define the state of an asset (e.g., "Ready to Deploy," "In Repair," "Archived").
2. Core Modules
The system is divided into several distinct categories to keep inventory organized:
Module | Description | Examples |
Assets | High-value, individually tracked items with unique tags. | Laptops, Servers, Monitors |
Licenses | Software seats and activation keys with expiration tracking. | Office 365, Adobe CC |
Accessories | Items tracked by quantity but not individual serial numbers. | Keyboards, Mice, Webcams |
Consumables | Items that are used up and never returned. | Ink Cartridges, Paper, Batteries |
Components | Parts that make up an asset. | RAM sticks, SSDs, Graphics Cards |
Predefined Kits | Bundles of the above for quick deployment to new hires. | "New Hire Laptop Kit" |
3. Standard Workflow
The typical lifecycle of an asset in Snipe-IT follows these steps:
A. Procurement & Creation
Create a Model: Define the manufacturer and model (e.g., Apple MacBook Pro 14").
Add Asset: Input the serial number, asset tag, purchase date, and cost.
Assign Status: Set to "Ready to Deploy."
B. Deployment (Checkout)
Search for the asset and click Checkout.
Select a User, Location, or Asset (e.g., checking a monitor out to a specific desk).
Optional: Enable EULA Acceptance to require the user to sign/confirm receipt via email.
C. Maintenance & Auditing
Auditing: Use a barcode scanner to verify physical presence. The system logs the "Last Audit" date.
Maintenance: Log repairs or upgrades under the asset's history.
4. Administrative Features
User Management
Roles: Assign permissions (Superadmin, Admin, User) to control who can create or delete data.
LDAP/Active Directory: Sync users directly from your corporate directory.
Reporting & Alerts
Automated Alerts: Receive emails for expiring warranties and software licenses.
Custom Reports: Generate CSV/Excel exports based on specific criteria (e.g., "All laptops purchased in 2024").
Custom Fields
If the default fields aren't enough, you can create Fieldsets (e.g., "Vehicle Info" with fields for License Plate and VIN) and assign them to specific asset models.
5. Quick Tips for the Demo
QR Codes: You can generate and print labels directly from the browser.
Searchability: Use the top search bar for instant results across assets, users, and licenses.
Bulk Actions: You can check out or delete multiple items at once using the checkboxes in the table view.
Note: Snipe-IT is web-based. While it doesn't have a native .exe application, the interface is fully responsive and optimized for mobile browsers and barcode scanning.
