We need to move away from a flat list and toward a nested hierarchy.

Recommended blueprint to turn this into a professional, scalable system.

Phase 1: The "Parent" Category Strategy

Gmail allows you to nest labels. Instead of 80 separate items, we are going to group them under 6 Parent Labels. Use a numerical prefix (0-5) to keep them in order at the top of your sidebar.

PENDING Now, PENDING Later, PENDING Spam, COMPLETED.

1. PEOPLE

Aamna, Aisha, Mahmuda, Rayya, Samia, etc.

2. DEPT / COMMS

HR Comms, Finance, Marketing, Programs, CEO Office.

3. VENDORS & TECH

Blackbaud, Odoo, Zoom, Google Ads, Power BI, Asana.

4. OPERATIONS

Data Entry, Bank Deposits, Tax Receipts, Refunds, SOPs.

5. ARCHIVE

All "2019" or "2020" labels and those with 0 conversations.

Phase 2: Immediate "Quick Wins" Cleanup

Before you start nesting, do these three things to clear the visual noise:

  1. Delete the Zeros: Labels like *CONSULTANTS*, Power BI - Maven, and MonthlyDonations have 0 conversations. Delete them. They are just ghosts haunting your sidebar.

  2. Merge Duplicates: You have EAU Therapy and EAU - Therapy Sessions. Pick one, move the emails into it, and delete the other.

  3. Kill the Legacy Labels: Move 2*Bank Deposits 2019 and 6*Tax Receipt 2020 into a new label called Z_Archive. You don't need to see them every day.

Phase 3: Standardizing the Names

Your current list uses *, -, 1., and 1* inconsistently. This breaks the alphabetical sorting.

The Pro-Tip: Use the "Nest label under" feature.

  • Click the three dots next to Aamna → Edit.

  • Check Nest label under and select 1. PEOPLE.

  • Rename it to just Aamna. It will now appear as 1. PEOPLE/Aamna.

Phase 4: Implementation Map

Here is exactly how I would rename and group your specific labels:

0. ACTIONS (Your Workflow)

  • 0. ACTIONS/01 Now (Rename from 1. *PENDING Now)

  • 0. ACTIONS/02 Later (Rename from 1. *PENDING Later)

  • 0. ACTIONS/Done (Rename from 1 *COMPLETED)

1. PEOPLE (Internal)

  • Move all individual names here.

  • Merge Mahmuda (CEO) and Mahmuda Khan - ED into one: 1. PEOPLE/Mahmuda.

2. VENDORS (External)

  • 2. VENDORS/Blackbaud (Merge your 3 different Blackbaud labels into this).

  • 2. VENDORS/Odoo (Merge Odoo BSA and Odoo comms).

  • 2. VENDORS/Payment Gateways (Nest Authorize.Net, Chase, Moneris, PayPal under here).

3. OPERATIONS (Functional)

  • 3. OPS/Financials/Bank Deposits

  • 3. OPS/Financials/Tax Receipts

  • 3. OPS/HR/Feedback

  • 3. OPS/IT/Security

Phase 5: The "Show/Hide" Polish

Once you've nested everything, go back to your Settings > Labels page:

  • Set Parent Labels to "Show if Unread": This keeps your sidebar tiny. You’ll only see 1. PEOPLE if one of those people actually emails you.

  • Hide the Junk: For labels like [Imap]/Drafts or Pending Spam, click Hide. You can always find them in the "More" section if you really need them.

One final tip: Since you have a lot of labels related to "Fazil," if that is you, consider if you actually need your name in the label. If this is your inbox, it's implied! Removing "Fazil" from the names will make the list much cleaner to read.
